Job Purpose:

You will be responsible on making sure the programme is delivering all requirements in a timely fashion as well as reviewing and, where appropriate, chasing applicants or stakeholders for time-sensitive information in a manner that is customer focused and effective as well as support the competition and related processes within the portfolio.

You will be instrumental in supporting the delivery of the programme, responding to and escalating queries from applicants and project partners when required. You will also be responsible for analysing applicant data, providing reports and raw data and support in the delivery of required trend analysis.

We are looking for a motivated individual who pays attention to detail and is a problem solver working within tight deadlines. The position will directly report to the Senior Programme Manager but working closely within a team.

Key Responsibilities and Accountabilities:

  • As part of the issues escalation process, respond to enquiries from operational teams and Project partners resolving where possible and escalating further to the Impact and Performance Manager where necessary
  • Supporting the team with data trend analysis and reporting of key portfolio metrics
  • Compilation and preparation of documentation and data for each competition round and its funders panel
  • Owning allocated data management and ensuring that data is consistent and accurate.
  • Review content of project reports to ensure that they support the project and portfolio level reporting requirements, escalating issues or anomalies as appropriate
  • Manage the day-to-day correspondence with applicants, internal staff and project participants
  • Scheduling and set up of meetings, taking minutes and actions
  • Identify trends across the portfolio, catching potential issues early and ensuring swift resolution where possible
  • Monitor the day-to-day performance of projects to ensure that key deliverables are met and mitigate poor performance with timely intervention, raising issues where necessary
  • Work with teams across Operations to ensure best practice and current guidance is maintained
  • Have a good understanding of the contract and report requirements across the portfolio
  • Provide a clear point of contact across the portfolio, responding in a timely fashion to all queries and issues
  • Review material provided by the project in support of scope project change requests/budget virement/extension /partner change and ensure it meets requirements, then action through operations processes
  • Support project set up, contracting and close out activity in a timely manner
  • Chase others for outstanding documentation and reports where necessary
  • Monitor the Operations RAG Report, reviewing trends and taking appropriate action where possible to ensure that projects remain green
