Hays Recruitment is seeking to appoint an experienced secretary/PA working for a well known NHS organisation.
Working as part of the Estates and Facilities team reporting to the Governance Manager, you will be providing executive/administrative support to the Directors of the organisation and supporting corporate and operational elements of work.
Your new role
- Communicating with a range of contacts, for example, Managers, support staff, staff from other Departments and external clients. The information will, in the main, be complex and/or sensitive and, on occasions, require a tactful and/or persuasive approach.
- Be required to support a number of operational and directorate meetings, as directed, by taking minutes of meetings which will include the preparation of papers.
- Where required, be responsible, as directed, for information resources which could include data inputting, creating databases or spreadsheets and updating the Directorate’s web information pages.
- Be able to plan and organise activities or programmes, as directed, that require formulation, adjustment or a department coordinated response.
- Be required to prioritise own work, and possibly that of others, making appropriate judgements. Undertake overall responsibility for Diary management and Meeting arrangements, analysing and resolving attendant issues.
- Plan Diary appointments and Meeting schedules, organise appropriate Filing systems and, whenever necessary, plan and co-ordinate “Time Outs†and other events.
- Dealing with ad hoc queries, complaints concerns such as HR employee matters.
What you'll need to succeed
- The role will be required to work as part of a team but also exercise initiative on their own within set parameters. You will need to have a professional approach to work, have previous PA/secretarial experience and have the enthusiasm and willingness to learn quickly.
- Good organisational skills and attention to detail will be important. Excellent written and communication skills are important.
- The role will be required to attend meetings and take minutes.
- You must be computer literate preferably in word documents, excel spreadsheets and PowerPoint.
- You will need be an organised individual with excellent time management skills.

Previous Secretarial and/or Administrative experience (2 years minimum).
Start date is as soon as possible.
Shift pattern / working hours - full time 37.5 but less hours can be accommodated and part time flexible working can be considered.
