I have an exciting new role to tell you about in Kings Lynn - I know this company well and their Teams and Offices are excellent and they have very good products - this is a hybrid role working for an international wood manufacturing company
Working closely with their other Executive Assistant, keeping 2 steps ahead of the Executive Leadership Team (ELT) is the key to excellence. Anticipating what they need before they do is a skill you must excel in. Providing dedicated support to ensure effective time and schedule management, meeting attendance and management, presentation, and correspondence organisation and so much more.
You are expected to be well-organised and comfortable in taking the lead in internal projects, internal communications, and responding to emails on an Executive's behalf. In short, you would also be one of two "go-to people" who work closely with the ELT to ensure that their time is utilised in the business in the most effective and efficient way. In addition to being a superhero in organising processes, documents, and assisting in accounting and HR; you always have a helping hand ready to extend across all departments!
Main Responsibilities:
  • Acting as a first point of contact for the Executive Leadership Team, dealing with correspondence via emails and teams calls - upholding strict confidentiality and exercising professional discretion at all times
  • Managing diaries, organising meetings, appointments and on/off site visits
  • Booking and coordinating travel, transport and accommodation
  • Organising events and conferences
  • Attending meetings, recording minutes and tracking actions for the ELT
  • Understand key business priorities and proactively ensure that calendar schedules are reviewed daily and that conflicts are resolved in a professional and timely manner
  • Organising and carrying out administrative tasks for the Executive Leadership Team, ensuring that all systems are up to date and organised
  • Maintaining all administrative procedures and implementing new ways of working where appropriate
  • Creating presentation decks & organising information
  • Liaising with internal/external stakeholders in order to build positive relationships to help support the daily office needs
  • Collating and filing expenses on behalf of the Executive Leadership Team
  • Miscellaneous tasks to support the Executive Leadership Team, which can be varied in order to suit business need
Essential requirements:
  • A-Level standard qualifications
  • 2 years' experience as a Personal or Executive Assistant.
  • Strong Outlook, Excel, Word and PowerPoint skills.
  • Professional, Approachable, Organised, Excellent Communicator – both Verbal & Written, Flexible.
Desired requirements:
  • Qualification in administration.

  • Expert at Microsoft Outlook, Excel, Word, PowerPoint, Teams
Additional Information
Working Hours:Flexible to meet needs of business but core hours of 37.5 hours per week with ½ hour lunch each day.
Annual Leave:25 days holiday (plus 8 bank holidays) per annum with various service related increments.
